What is a managed maintenance program, and is it worth it?
Updated · Wingman AeroCare, KFNL
Short answer: A managed maintenance program is a service where a maintenance shop takes over the planning side of ownership: tracking ADs and inspection due dates, scheduling work, and coordinating any outside shops, with one point of contact. It is usually worth it for owners who fly regularly, own a complex aircraft, or do not have the time or inclination to manage maintenance themselves. Owners who enjoy tracking every detail and fly simple aircraft may get less value from it.
What problem does it solve?
Under 14 CFR 91.403(a), the owner or operator is primarily responsible for keeping the aircraft airworthy, including AD compliance. That responsibility does not go away when you hire a shop. In practice, a lot of owners end up as their own maintenance manager:
- Tracking recurring ADs by hours and calendar date
- Remembering transponder, pitot-static, and ELT due dates (14 CFR 91.413, 91.411, 91.207)
- Finding and scheduling separate shops for avionics, paint, interiors, and overhauls
- Keeping track of what was deferred at the last annual
- Deciding when an engine trend means "watch it" versus "fix it"
A managed program moves that work to people who do it every day.
What is usually included?
Programs vary by shop. Common elements:
| Feature | Why it matters |
|---|---|
| Single point of contact | One call for everything, instead of juggling several shops |
| AD and service bulletin tracking to your tail number | Recurring items get flagged before they are overdue |
| Inspection and due-date scheduling | Annual, 100-hour, transponder, pitot-static, and ELT timing planned in advance |
| Partner shop coordination | Overhauls, paint, interiors, and avionics managed for you |
| Trend monitoring (such as oil analysis) | Engine problems caught early, when they are cheaper |
| Priority scheduling | Less waiting for a slot |
Is it worth it?
It is most valuable when:
- Your aircraft is complex. High-performance singles and twins (turbocharged engines, retractable gear, sophisticated avionics) have more ADs, more service bulletins, and more systems that interact.
- You fly a lot. Hour-based items come due faster, and every unplanned grounding costs flights.
- You are busy. If you would rather spend your aviation time flying than managing paperwork, the time savings alone can justify it.
- You have used several shops. Records spread across multiple shops are exactly where AD gaps and deferred items get lost.
- You are a new owner. A program gives structure while you learn the aircraft.
It may be less valuable if you own a simple aircraft, fly infrequently, already track everything carefully, and are comfortable coordinating your own vendors.
How should I evaluate a program?
Ask:
- What exactly is tracked, and how will I see it?
- Who is my point of contact?
- How are outside shops chosen and managed?
- Do I still approve every repair, or does the program authorize work on my behalf?
- What does it cost, and what priority or extras come with it?
- What happens to my records and tracking data if I leave?
The last question matters: tracking data you cannot take with you is a hidden cost.
The real economics
The direct savings come from catching problems early (an oil analysis trend that leads to a cylinder repair instead of an engine failure), avoiding missed ADs that ground the airplane, and fewer unplanned trips to the shop. The indirect value is time and confidence: knowing someone is watching the calendar for you.
How Wingman handles it
Wingman AeroCare's Managed Maintenance Program includes one point of contact, AD and SB tracking to the tail number, scheduling, partner shop coordination, oil analysis on every oil change, and priority scheduling. You still approve every item individually on an online estimate with photos and video; nothing beyond your approved scope is done without your OK. Based at Northern Colorado Regional Airport (KFNL).
